The role involves providing comprehensive administrative and logistical support to managers within the HR department, including email management, scheduling, meeting organization, and collaborative project involvement.

What you are going to do

  • You will provide comprehensive support to your managers by proactively managing emails and setting the right priorities. You take on tasks independently where possible
  • You are responsible for agenda management and appointments, ensuring the right balance for your managers
  • You organise the logistical aspects of offsites, meetings, team meetings both online and live
  • You prepare the agenda for the team meetings, keep track of the actions during the meetings and carry them out where necessary
  • You also perform administrative tasks, such as Workday and ProActis, and collect data to make the right decisions
  • Together with your HR assistant colleagues, you take on overarching tasks, such as making HR Networks transparent, updating the NN organogram, organising the HR stand-up, etc
  • You will occasional do project support (e.g. planning project meetings, maintain planning documents, create overviews)

Not all activities will be well defined, and unexpected events are part of the role. So ability to (self) organise, and structure the unstructured is considered important. It is pivotal that you have an excellent feel for what to handle yourselves and what escalate, spot urgencies, and finding creative solutions for issues that arise.

Who you are

  • You have several years of experience as an assistant or in a comparable role
  • You have MBO/HBO-level education and thinking
  • You are communicatively strong (in both Dutch and English)
  • You have a solid understanding of the wider HR workfield and related dynamics (preferred)
  • You have advanced knowledge English (spoken and written), and able to work in a dynamic multi-cultural environment (both teams have multiple nationalities, and have international workfields)
  • You have proven understanding/capabilities in relation to MT and Board dynamics (e.g. decision making processes, responsibilities, effective communication strategies, priority setting, agenda-management)
  • Front runner in using Co-Pilot, ChatGPT (and other evolving (AI) Tooling) in effectively performing your assistents role
  • You have extensive knowledge of Microsoft 365, PowerPoint, and Excel

Who you will work with

You work as an executive assistant for the Head of Reward (Pepijn de Zwart) & Head of HR Shared Services (Gerbrand Erdkamp) and you are a real sparring partner and spider in the web. Both managers have a scope that includes responsibilities for policies, processes and activities related to NN Group, Business Units in The Netherlands as well as internationally, which means that the language of communication is generally English. You work independently but regularly coordinate with other colleagues.
